Terms of Service

Please read these Terms of Service (“Terms”) carefully before using the MyInsureFlow platform (“Service”). By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, do not use MyInsureFlow.

1. About MyInsureFlow

MyInsureFlow is a customer relationship management (CRM) tool built for independent insurance advisors licensed under the Life License Qualification Program (LLQP) in Canada. The Service is provided by MyInsureFlow, operating from British Columbia, Canada.

2. Eligibility

You may use MyInsureFlow only if:

  • You are at least 18 years of age
  • You are a licensed or trainee insurance advisor, broker, or manager
  • You are using the Service for lawful business purposes only
  • You have the legal capacity to enter into this agreement

Accounts found to be in violation of these eligibility requirements may be terminated without notice.

3. Your Account

When you register, you agree to:

  • Provide accurate and current information
  • Maintain the security of your password
  • Promptly notify us of any unauthorized access to your account
  • Be responsible for all activity that occurs under your account

Each account corresponds to one “Agency” (which may have one or more users). You may not share your account credentials with people outside your organization.

4. Free Trial

New accounts receive a 14-day free trial with full access to all Service features. No credit card is required to start a trial.

At the end of the trial period, your account will be downgraded to a read-only state until you select a paid plan. Your data is retained for 30 days after trial expiry before permanent deletion.

5. Paid Subscriptions

5.1 Plans and pricing

MyInsureFlow offers monthly subscription plans (Starter, Pro, Agency). Current pricing is displayed on the Billing page within the application. Prices are in Canadian Dollars (CAD) and exclude applicable taxes.

5.2 Billing

Subscriptions are billed monthly on the date you subscribe. Payment is processed securely through Stripe. By providing payment information, you authorize us to charge the applicable fees each billing cycle.

5.3 Cancellation & refunds

You may cancel your subscription at any time from the Billing page. Cancellation takes effect at the end of the current billing period — you retain access until then. We do not provide prorated refunds for partial billing periods, except where required by applicable law.

5.4 Price changes

We will provide at least 30 days' notice before any price increases, by email and in-app notification.

6. Acceptable Use

You agree not to:

  • Upload unlawful, harmful, or fraudulent content
  • Enter data about individuals without an appropriate legal basis
  • Attempt to access another user's data or breach the Service's security
  • Use automated bots, scrapers, or scripts against the Service
  • Reverse-engineer, decompile, or copy the Service's source code
  • Resell or sublicense access to the Service
  • Use the Service in any way that violates applicable law, including privacy law and insurance regulations

7. Your Data

You retain full ownership of all data you enter into MyInsureFlow — your client records, leads, policies, notes, and templates are yours.

You grant MyInsureFlow a limited, non-exclusive licence to store and process your data solely to provide the Service to you.

You are responsible for ensuring you have the right to enter and store any personal information about third parties (e.g., your clients), in compliance with PIPEDA and applicable provincial privacy laws.

8. Service Availability

We aim for high availability but do not guarantee uninterrupted service. The Service is provided “as is.” Scheduled maintenance, third-party outages (Neon, Vercel, etc.), or unforeseen events may cause temporary unavailability.

We will make reasonable efforts to notify you in advance of planned maintenance windows.

9. Disclaimer of Warranties

Important — please read carefully

To the maximum extent permitted by law, MyInsureFlow is provided “as is” and “as available” without any warranty of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.

MyInsureFlow does not warrant that the Service will be error-free, secure, or continuously available. Any reliance on the Service for regulatory compliance decisions is at your own risk.

10. Limitation of Liability

To the fullest extent permitted by applicable law, MyInsureFlow and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, goodwill, or business interruption, arising from your use of (or inability to use) the Service.

Our total liability to you for any claim arising under these Terms shall not exceed the greater of (a) CAD $100 or (b) the total fees you paid to MyInsureFlow in the 3 months preceding the claim.

11. Indemnification

You agree to indemnify and hold harmless MyInsureFlow and its operators from any claims, damages, or expenses (including reasonable legal fees) arising from:

  • Your violation of these Terms
  • Your violation of any applicable law or regulation
  • Data you entered into the Service (including your clients' personal information)

12. Termination

12.1 By you

You may close your account at any time by contacting support@myinsureflow.com. You may request a data export before closure.

12.2 By us

We reserve the right to suspend or terminate your account without notice if:

  • You violate these Terms or our Acceptable Use policy
  • Payment is not received after reasonable attempts
  • We receive a valid legal order requiring suspension
  • We discontinue the Service (with 30 days' notice)

12.3 Effect of termination

Upon termination, your access to the Service will end. Your data will be retained for 30 days after which it will be permanently deleted. You may request an export during this window.

13. Intellectual Property

The MyInsureFlow name, logo, product design, and all software are owned by MyInsureFlow and protected by copyright and trademark law. These Terms do not grant you any rights to use MyInsureFlow's brand or intellectual property.

14. Changes to These Terms

We may update these Terms from time to time. We will notify you by email and via in-app notification at least 14 days before material changes take effect. If you continue to use the Service after the effective date, you accept the updated Terms. If you do not agree to the changes, you may close your account.

15. Governing Law & Disputes

These Terms are governed by the laws of the Province of British Columbia, Canada and the laws of Canada applicable therein, without regard to conflict-of-law principles.

Any dispute arising from these Terms or the Service shall first be submitted to informal negotiation by contacting us at support@myinsureflow.com. If unresolved after 30 days, disputes shall be referred to binding arbitration inBritish Columbia, Canada under applicable Canadian arbitration law.
